1. Quantity verification
We count sealed retail units, not the number of sensors, pods, or strips inside a manufacturer box unless the quote explicitly uses individual units. Mixed shipments are separated by product, identifier, and expiration date.
2. Exact product and compatibility
Small naming differences can identify a different product. Dexcom G7 15-Day and 10-Day sensors are different. Libre 3 Plus and Libre 3 are different. OmniPod 5 and DASH are different. Compatibility wording and pack size are checked before the price is finalized.
3. REF and NDC verification
The REF or NDC is compared with the option selected in the quote. If the number differs, we reprice the item using the correct variant. This is one of the most common reasons an estimate changes.
4. Expiration-date verification
Each box is checked individually. When boxes in the same shipment have different expiration dates, they may fall into separate pricing tiers. A seller should not use the newest date for every box.
5. Seal and tamper review
The manufacturer’s original seal must be intact. We do not accept boxes that appear opened, resealed, glued, taped shut, or altered. Damaged outer wrap may also require closer review.
6. Label and distribution review
We inspect all sides of the package for wording or stickers indicating sample, NFR, professional use, institutional use, Medicare/Medicaid, specific payer restrictions, or “not for resale.” Labels that cover the REF, NDC, lot, expiration, or barcode can also prevent verification.
7. Physical-condition grading
Generally acceptable shelf wear
- Light rubbing or minor cosmetic scuffs
- A small corner impression that does not affect seals or identifiers
- Removable pharmacy labels that do not tear the package
Condition that may reduce an offer
- Crushed corners or bowed panels
- Deep dents, tears, writing, or heavy sticker residue
- Damage over a barcode, lot number, REF/NDC, or expiration
- Significant fading or storage wear
Condition that is normally rejected
- Broken or missing factory seal
- Water damage, mold, contamination, pests, smoke or chemical odor
- Loose products removed from the original package
- Altered, scratched-off, or missing identifiers
- Expired or recalled products
How shipping damage is handled
Packaging condition is evaluated as received, which is why careful packing matters. Photograph the product boxes, the packed interior, and the sealed shipping carton before drop-off. Retain the UPS receipt and tracking number. Follow the packing and shipping guide to reduce avoidable damage.
What happens when something does not match
If the shipment differs materially from the quote, the amount may be revised. Examples include a different REF/NDC, lower expiration tier, fewer units, a restricted label, or damage. The revised amount should be communicated before payment. Ineligible products may need to be returned or otherwise handled according to the agreed terms.
How sellers can prevent adjustments
- Photograph every side of each product before requesting a quote.
- Enter separate items for different identifiers or expiration dates.
- Disclose dents, tears, labels, writing, or seal concerns.
- Use a rigid box with cushioning rather than a padded envelope.
- Do not ship until your offer and prepaid label are confirmed.
